Lone Star Receptionist Service Agreement
Last updated: November 2, 2026
This Service Agreement ("Agreement") is between [Lone Star Receptionist / LLC legal name] ("we," "us," or "Provider"), 9463 Hwy 377, Unit #4057, Benbrook, TX 76126, hello@lonestarreceptionist.com, and the business that signs up for the service ("you" or "Customer").
1. Accepting this Agreement
You accept this Agreement when you check the box saying you agree to it and complete signup (for example at Stripe checkout), or when you start using the service, whichever comes first. The person accepting confirms they are authorized to bind the business. Keep a copy; we will email you one on request.
2. What we provide
We provide "Riley," an AI phone receptionist built on Retell AI. Riley answers calls forwarded to it, greets callers in your business name, collects caller details, transfers urgent calls to your cell if you turn this on (optional, set up during onboarding), books appointments on your connected calendar (Cal.com / Google Calendar), and emails you a summary of each call. Riley is an AI, not a person, and tells callers so.
3. What we do not provide
- No emergency service. Riley is not an emergency or dispatch service. For emergencies (gas leaks, fire, carbon monoxide, injury, flooding), Riley tells callers to hang up and call 911 or their utility. Do not rely on Riley as your only way to receive emergency calls.
- No guaranteed results. We do not guarantee any number of booked jobs, revenue, or customers.
- No guaranteed uptime or accuracy. The service depends on phone carriers, the internet, and third-party providers, and AI can mishear, misunderstand, or make mistakes. Calls may drop, bookings may be wrong, and summaries may be incomplete. Review your summaries and calendar.
- No technical, safety, pricing, or legal advice to your callers beyond the information you give us.
- Not for health information covered by HIPAA. The service is not designed or offered for HIPAA-covered protected health information. Healthcare providers, dental and medical offices, and other HIPAA covered entities or business associates may not use it for calls involving protected health information, and we do not sign business associate agreements at this time.
4. Your responsibilities
- Set up and maintain call forwarding from your business line to the number we give you.
- Give us accurate, current information: services, hours, service area, pricing you want shared, and how to handle urgent calls. Tell us promptly when it changes.
- Follow all laws that apply to you, including call recording and notice laws in the states where your callers are, privacy laws, and consumer protection laws.
- Use the service lawfully. Do not use it for anything illegal, deceptive, harassing, or abusive.
- No outbound robocalls or spam. The service is for answering inbound calls. You may not use it to place outbound automated or AI-voice calls. The service does not send text messages.
- Keep your account login and calendar connection secure.
- Law firms. If you are a law firm or legal practice, Riley collects intake details and books consultations only. Riley does not give legal advice and tells callers that the call does not create an attorney-client relationship. You are responsible for your own professional ethics, advertising, confidentiality, and conflict-of-interest rules, including running your own conflict checks and deciding whether to accept any matter.
5. Call recording
Calls handled by Riley are recorded and transcribed. Riley announces at the start of every call that the call is recorded. You agree not to ask us to remove that announcement, and you remain responsible for any additional notice or consent your callers' location requires.
6. Price and automatic renewal
- Price: $297 per month, plus any applicable taxes, billed through Stripe to the card you provide.
- Automatic renewal. Please read: your card will be charged $297 when your service starts and then every month on that date until you cancel.
- No contract term. The service is month to month.
- How to cancel: cancel anytime through the Stripe customer portal link in your billing emails, or by emailing hello@lonestarreceptionist.com. Cancellation is as easy as signup and needs no phone call. Cancelling takes effect at the end of your current paid month, and service continues until then.
- No refunds for partial months. We do not refund unused days of a month already paid, except where the law requires it.
- Price changes: we will give you at least 30 days' email notice before any price change takes effect. You can cancel before it does.
7. Call minutes and fair use
The plan includes 500 call minutes per month, counted across all calls Riley handles for you. Additional minutes are $0.55 per minute, billed on your next monthly invoice. Riley never hangs up at the limit; we email you when you approach and when you pass it. The plan is meant for a single home-services business. If your usage is extreme or abusive (for example, call volume far beyond a typical small business, automated or test-call floods, or reselling the service), we will contact you to discuss a fair solution, such as a different plan. We will not cut off service for volume alone without first talking with you, unless the usage threatens the service or breaks the law.
8. Late payment and suspension
If a payment fails, Stripe will retry and we will email you. If payment is still not made 7 days after we notify you, we may suspend the service until it is paid. We will restore service once your account is current. We may also suspend immediately if your use breaks this Agreement or the law, or threatens the service or others.
9. Your data
- You own your call data: recordings, transcripts, summaries, caller details, and bookings.
- We use your data only to provide, support, and secure the service, and as the law requires. We do not sell it or use it to market to your customers.
- Subprocessors. We use these providers to run the service: Retell AI (voice AI, calls, recordings), Cal.com and Google Calendar (scheduling), Resend (email summaries), Stripe (billing), and Cloudflare (website hosting). We may change providers and will update this list.
- Deletion. After you cancel, you can ask us to delete your data, and we will delete it from our systems and ask our providers to do the same within 30 days of your request, except anything we must keep by law (for example billing records). You can ask for a copy before deletion.
10. Confidentiality
Each of us will keep the other's non-public business information private, use it only for this Agreement, and protect it with reasonable care. This doesn't cover information that is public, already known, independently developed, or that the law requires us to disclose.
11. Disclaimer of warranties
Except as stated in this Agreement, the service is provided "as is" and "as available." To the fullest extent the law allows, we disclaim all other warranties, including merchantability, fitness for a particular purpose, and non-infringement, and we do not promise the service will be uninterrupted or error-free.
12. Limitation of liability
To the fullest extent the law allows: - Neither party is liable for lost profits, lost jobs or revenue, lost data, or indirect, incidental, special, or consequential damages, even if told they were possible. - Our total liability for all claims related to this Agreement is limited to the fees you paid us in the 3 months before the event giving rise to the claim. These limits do not apply to your payment obligations, your indemnity duties, or a party's fraud or willful misconduct.
13. Indemnity
- You will defend and cover us for claims, fines, and costs (including reasonable attorney's fees) arising from your unlawful use of the service, your breach of Section 4, or the information you give us.
- We will defend and cover you for claims arising from our violation of law or our willful misconduct in providing the service. The party asking for protection must tell the other promptly and reasonably cooperate.
14. Ending the Agreement
You may cancel as described in Section 6 (no partial refunds for the current paid month). We may end the Agreement with 30 days' email notice, or right away if you materially breach it and do not fix the breach within 10 days of notice. Sections 9 through 13 and 16 survive termination.
15. Changes to this Agreement
We may update this Agreement. We will email you at least 30 days before changes take effect. If you don't agree, you can cancel before then. Continuing to use the service after the effective date means you accept the changes.
16. Governing law and venue
This Agreement is governed by Texas law. Any dispute will be handled in the state or federal courts in Tarrant County, Texas, and both parties agree to that venue.
17. Entire agreement and other terms
This Agreement, together with our Privacy Policy, is the entire agreement between us about the service and replaces any earlier discussions. If it conflicts with the website Terms of Service, this Agreement controls. If any part is unenforceable, the rest stays in effect. Not enforcing a term is not a waiver. You may not transfer this Agreement without our consent; we may transfer it to a successor business (including our LLC once formed). Notices go by email: to us at hello@lonestarreceptionist.com and to you at your account email.
